Version 1.0 · Effective 31 August 2026
Privacy Policy
This policy explains what Aqroo collects, why we use it, and the choices available to you when you use our hosted accounting workspace.
1. Who is responsible
Aqroo is operated by AINA Technologies (“Aqroo”, “we”, “us”, or “our”). For privacy questions or requests, contact support@useaina.com.
2. Information you provide
Depending on how you use Aqroo, this can include:
- Account information: your name, email address, password credentials handled by our authentication provider, confirmation and recovery activity, and account preferences.
- Business and accounting information: business identity and address details, customer and supplier profiles, invoices, bills, payments, VAT settings, journals, reports, and exports.
- Imported information: bank statement files, transaction descriptions, dates, references, and amounts that you choose to import and reconcile.
- Support information: your name, email address, subject, and the message you choose to send to our support inbox.
3. Information collected through use
We receive technical information needed to run and protect Aqroo, such as request timestamps, route and error information, browser and device details supplied by the hosting platform, and security or diagnostic logs. Server logs use request identifiers and are designed to avoid recording passwords, tokens, recovery links, or cookie values.
Aqroo uses essential cookies for authenticated sessions and active-workspace routing. The workspace may use local browser storage for a non-essential theme preference. We did not identify an active third-party advertising or behavioural analytics provider in this release.
4. Why we use information
We use information to create and secure accounts, authenticate users, provide tenant-isolated workspaces, store and calculate accounting records, generate documents and reports, import and reconcile bank statements, respond to support requests, prevent abuse, troubleshoot failures, and meet legal or operational obligations.
We do not sell personal information. We share information with service providers only as needed to operate Aqroo, protect the service, process communications, or comply with law.
5. Service providers and international processing
Aqroo uses:
- Supabase: authentication, hosted PostgreSQL data, row-level access controls, and related platform services. The Aqroo Production database is configured in the eu-west-1 region.
- Vercel: application hosting, delivery, server execution, and operational logs.
- Resend: transactional account email, including verification and password-recovery messages, through Aqroo’s Supabase Auth configuration.
These providers and their infrastructure may process information in more than one country. Aqroo does not make a South African hosting or guaranteed data-residency claim.
6. Retention
We keep information for as long as your account and business workspace are active, and afterwards for as long as it is reasonably needed for export requests, security, dispute handling, backups, or legal and accounting obligations. Retention periods can differ by record type. We do not currently offer a self-service deletion control, and a deletion request may be limited where records must be retained.
7. Security
We use hosted authentication, encrypted connections, tenant-scoped access controls, database row-level policies, role checks, and operational safeguards appropriate to the service. No online service is risk-free, and Aqroo does not claim a security certification or guarantee that unauthorised access is impossible.
8. Your choices and requests
You may ask us to access, correct, export, or delete information associated with your Aqroo account by emailing support@useaina.com. We may need to verify the request, and deletion may be limited by accounting, legal, security, or backup-retention requirements. You can also stop optional browser storage by clearing your browser settings, although doing so may affect preferences or sign-in behaviour.
9. Children and business use
Aqroo is a business service and is not intended for children. If you provide information about another person or business, you are responsible for having a lawful basis and the authority to do so.
10. Changes and contact
We may update this policy when the service or its data practices change. We will publish the new version and effective date here. This policy is version 1.0, effective 31 August 2026. For questions or complaints, use Aqroo support or email support@useaina.com.
