Terms of Service

These terms explain the ground rules for using Aqroo, a hosted accounting workspace for small businesses. They are written for the early Aqroo service and may be updated as the service grows.

1. Who provides Aqroo

Aqroo is operated by AINA Technologies (“Aqroo”, “we”, “us”, or “our”). For questions about these terms or the service, contact support@useaina.com.

2. Who may use it

You must be legally able to enter into an agreement where you live. If you use Aqroo for a business, you confirm that you are authorised to act for that business and to enter these terms on its behalf.

3. Your account

Keep your sign-in details private, use a strong password, and tell us promptly if you believe your account has been accessed without permission. You are responsible for activity carried out through your account and for keeping the people you authorise within the correct business workspace.

4. Your business data

You keep ownership of the information you enter or upload, including customer and supplier details, invoices, bills, payments, accounting records, and bank statement files. You are responsible for having the rights and permissions needed to use that information in Aqroo, and for checking that it is complete and accurate.

We give you a limited, non-exclusive licence to use Aqroo for your business while your account is active. We may process your data only to provide, secure, maintain, and improve the service, or as described in the Privacy Policy.

5. Acceptable use

Do not use Aqroo to break the law, impersonate someone, interfere with the service, attempt to access another business, upload malicious code, or test security without written permission. Do not put passwords, card details, bank login credentials, or other secrets into support requests or ordinary accounting fields.

6. Accounting information is not advice

Aqroo provides software and accounting records; it does not provide accounting, tax, legal, investment, or financial advice. You remain responsible for reviewing entries, tax treatment, VAT settings, reports, exports, and documents before relying on them or sending them to another person or authority. Obtain professional advice when you need it.

7. Availability and changes

We work to keep Aqroo available and reliable, but no online service is uninterrupted. We may change, improve, suspend, or retire features, including to address security, legal, or operational requirements. We will take reasonable steps to communicate material changes where practical.

8. Service providers

Aqroo uses specialist providers to operate the service, including Supabase for hosted authentication and database services, Vercel for application hosting, and Resend for transactional account email delivered through the authentication service. Those providers process information under their own terms and security controls. See the Privacy Policy for more detail.

9. Payments and subscriptions

Aqroo does not currently activate paid plans or subscriptions through this site. If paid access is introduced later, we will publish the applicable pricing and payment terms before charging you.

10. Suspension and ending use

We may suspend or end access if it is reasonably necessary to protect the service, other users, or the law, or if these terms are materially breached. You may stop using Aqroo at any time. Contact support if you need help exporting your data or closing an account.

11. Export and retention

Aqroo provides accounting exports for supported records. We retain account and business information while it is needed to provide the service, meet security and operational needs, resolve disputes, or comply with legal and accounting obligations. We do not currently provide a self-service account-deletion control. We will consider deletion requests through support, subject to records that must be retained and data held in secure backups or logs.

12. Intellectual property

Aqroo, its software, design, names, and documentation belong to Aqroo or its licensors. These terms do not transfer that ownership to you. You may not copy, resell, reverse engineer, or misuse the service except where applicable law permits it.

13. Liability

To the extent permitted by law, Aqroo is provided without a promise that it will meet every business need or be error-free. We are not responsible for losses caused by information you entered incorrectly, decisions made without checking records, or events outside our reasonable control. Nothing in these terms excludes liability that cannot lawfully be excluded. Where liability can be limited, our total liability for the free service will be limited to the amount you paid us for Aqroo in the twelve months before the event giving rise to the claim.

14. Governing law and contact

These terms are governed by the laws of South Africa, subject to any mandatory rights that apply where you live. The courts of South Africa will have jurisdiction unless applicable law requires a different forum. Questions, complaints, and data requests can be sent to support@useaina.com or raised through the support page.

These terms are version 1.0, effective 31 August 2026. We will show the effective date when we publish a materially revised version.
